Full Description

This position has responsibility for administrative support to the operations, design and workshop teams to ensure the smooth running of the business. You will play a key role in the organisation, working in a fast paced environment in the luxury jewellery industry.
Number of working hours per week: 30, these will be worked 8:30 - 15:00
Responsibilities

  • To take to completion, the accurate and timely creation of jewellery within the business through our design and workshop departments, primarily in Guernsey but supporting other locations.
  • Maintain relationships with outworkers ensuring the efficient turnaround of all services used from them by the business.
  • Producing accurate quotations for bespoke commissions.
  • Maintaining relationships with suppliers and placing orders with them.
  • Sourcing gemstones for stock or clients to view.
  • Responsible for approving invoices and handling approval notes and providing to the finance team in a timely manner.
  • Producing photography of finished items.
  • Preparing jewellery valuations and insurance correspondence.
  • To deal with all incoming and outgoing deliveries and manage monthly tax reports to governmental bodies and postal services.
  • To be point of contact on all telephone calls to the business and direct to the appropriate person.
  • To liaise with clients and assist over the phone where they cannot visit us in person.
  • Handling of client email enquiries.
  • Processing and fulfilling website orders.
  • Acting as a head office contact to support our other locations.
The above gives an outline of the duties which the post holder will be expected to undertake but is not intended to be limiting as other duties may arise from time to time. It will be subject to review to ensure that it reflects the current duties and responsibilities of the post holder.   
 
 Skills and Qualifications 

  • Educated to a good GCSE standard (with a minimum of English and Mathematics grade A to C).
  • Be a clear communicator both in writing and verbally.
  • Excellent IT computer proficiency and troubleshooting skills.
The successful candidate for this high volume role must be a self starter with excellent organisational skills and have the ability to problem solve on a reactive basis.
