Full Description

Collaboration is key to how we work and we are looking for an experienced Administration Assistant to join our innovative Global Support Team for a 6 month fixed term contract to provide administrative and secretarial assistance to the business.

We are looking for someone with extensive experience in a similar capacity. Key requirements will primarily be diary and travel management for Partners within the firm.

Key Responsibilities
  • Diary management, arrange and coordinate meetings, conference calls and appointments
  • Travel management, planning and booking
  • Typing of correspondence and formatting documentation
  • Ensuring current files are kept up to date (including filing of emails and correspondence, photocopying and scanning) and closing matters when concluded
  • Billing / Invoicing experience, preparation of invoices, sending out to the client and follow up of payments with clients
  • Keeping business systems up to date
  • Managing client interactions
  • Organising in-house and external meetings
  • General printing/scanning and production of Court bundles where necessary
  • Take ownership of allocated administrative tasks and assist the partners, fee earners and wider teams in the business

Skills Knowledge and Expertise
  • Minimum 5+ years' administration experience in a secretarial / PA capacity (ideally in a legal or professional services environment)
  • A tech-savvy outlook
  • Comfortable working within a busy environment where quality of work is key
  • Excellent diary and travel management experience 
  • A high level of proficiency in Word/Outlook, and ideally a working knowledge of Excel and PowerPoint
  • Excellent organisational skills with an ability to efficiently and effectively manage own time and prioritise workload
  • Strong attention to detail is essential
